The Import & Link images tool creates Photo or Audio-Visual records and links the photo/AV files to object records.
If you want to link the files to object records you must include the object accession number or system ID in the image filename, e.g. 2018.5_front using a suffix if there are multiple images e.g. 2002.1-1 and 2002.1-2.
Any images that are already in Vernon CMS will not be imported again.
1.Go to Tools menu > Imaging > Import & Link Images.
2.In the Image Directory field click the Browse button
to find the images. The system will look in the selected folder and subfolders. You can prevent the system from looking in subfolders by unticking the Include Subfolders checkbox.
3.Tick the Link Images to Objects checkbox.
4.Tick the Link as Primary Image checkbox to make the image the first on the record.
5.Choose whether your image filenames include the System ID or the Accession Number of the object. Only choose Preparser if a preparser subroutine has been supplied to your by Vernon Systems.
6.If all the filenames include a common prefix, enter this in the Filename Prefix field.
If the filenames have a suffix, such as '_detail' or '_a', you'll need to enter a code into the Filename Suffix field.
*'_'0X tells the system to ignore everything after an underscore when looking at the filename. Replace the underscore with the character that separates your Accession Number or System ID number with a suffix in your filenames.
7.If you are using Accession Numbers, and they contain characters that are not permitted in filenames, such as slashes '/', you will have to replace it with a different character in the filename. The Map From and Map To fields convert the stand-in character back into the real character.
8.Click the Display Matches button. This will show you all the images that match an object record. You can remove any rows from the Matches Found table if you don't want them to be imported.
9.Click on the Create button to create a Photo/AV record and link it to Object records for each row in the Matches Found table. If an image already exists in Vernon CMS, it will be linked to the object but a duplicate record will not be made
10.The Photo/AV records and Object records will display in a browse list.
