The Diary File

The Diary file stores the following data for every record in the Object and Activity files:

oStatus History - records Procedural Status changes.

oA schedule of statuses - records the person or due date for a future Procedural Status change

oA schedule of tasks - records any actions required for a record (for example, photograph object).

oCosts associated with any task - records monetary or time amounts spent or budgeted for a task.

 

Tasks can be created for:

1.Object, Person, Photo/AV, Site and Activity records. Each of these datafiles have a Tasks & Their Costs window.

2.A general task, not associated with an activity or object.

 

Tasks can be assigned to a Procedural Status and brought to the user's attention when that Procedural Status changes. For example, on entering details of an Acquisition Proposal the user may be offered a To Do List of common tasks such as Allocate Funds or Check Validity of Title.

Accessing the Diary

There are two windows where you can update diary entries:

1.The Diary window.

2.The File specific Diary windows (for example, Object > Diary window).

Diary Check

You can run a diary check, that will get all the diary records relating to a particular user/person, regardless of what file or record they relate to.
