Vernon CMS can detect if there are duplicate Person records in the system.
Check for duplicate records when a Person is saved.
Go to Tools menu > System Maintenance > Customised Configuration > Person tab, and tick the Check Duplicate Name checkbox. If you use Copy From Previous Record, the system will not check for duplicates. You can include initials as part of the duplicate checking by ticking the Include Initials When Checking checkbox.
Duplicate checking is also available for corporate records. You can find the corporate settings on the same page: Tools > System Maintenance > Customised Configuration > Person tab.
Force Review of Possible Duplicates
You can force the user to review possible duplicate person records when creating a Person record. Go to Tools menu > System Maintenance > Customised Configuration > Person tab, and tick the Force to Review Candidates checkbox.
The system will force you to review potential duplicates after a certain number of possible duplicates have been entered unless duplicate checking is enabled. You can change the number of possible duplicate records displayed in Tools menu> System Maintenance > Customised Configuration > Person tab, and change the number in the Automatic Review Limit field.
You can change these settings for corporate Person records as well.
Ignoring Certain Words When Checking for Duplicates
You can ignore certain words when checking for duplicates. Go to Tools menu > System Maintenance > Customised Configuration > Person tab, and enter the words into the Ignore these words when checking table.
Do not put "A" in this field as it will prevent duplicate checking for people with the initial "A"
Limiting the Amount of Duplicate Corporate Records for Review
You can set the number of different words allowed in duplicate before you are alerted. Go to Tools > System Maintenance > Customised Configuration > Person tab and enter a number in to the Maximum no. of mismatched words to eliminate candidates field.
