Many institutions will use the Acquisition Proposal file differently, so that it best fits with their procedures and processes. This example is just one way of many ways you could use it.

 

1.Create object records for all the items that are part of the Acquisition Proposal, and give them the procedural status of 'Considered Item' or similar.

2.Open the main Acquisition Proposal window to start a new record.

3.Give the Acquisition Proposal record a procedural status, for example 'Proposed'. If you use File Numbers, fill in the File Number field with a number that fits your institution’s format.

4. In the Source section, fill in the details about where these items are coming from, such as the person or institution's name and role, and their contact details.

5.Go to the Administration tab on the main window, and fill in relevant details, such as the reason, method, department, recommendation and approval details and so on.

6.Link the Objects related to this Acquisition Proposal, and link any related Activities.

7.You can add any related correspondence, documents, or photographs to the Acquisition Proposal.

8.Save the record.

 

When the Acquisition Proposal is Approved, Rejected, or Cancelled, open the record and update the procedural status to reflect the change. You can add more information into any of the fields if you need to.
