When you choose to include a Photo/AV field in an Export or XML Export report, the report will include the filepaths of your images/media, not the images themselves. If the program using the XML file is located on a different network to your image/media files, it will not be able to read them. You can export image and media files to a folder, which can then be transferred to wherever it is needed.
How to export media to a folder
1.Find the records you would like to report on and click Reporting in the toolbar.
2.Select the XML Export/Export report, or create a new XML Export/Export.
3.Click the Edit Report Template tab.
4.Click Formatting options.
5.Click in the Export Filename field and choose a location to save the file to, and enter a name for the export file.
6.Select an XML Export Format from the list.
7.Select Export Audio-Visual Media to a folder.
8.Choose the relevant options for how images are exported:
oTo export only the first image in a record, select Primary Only.
oTo export thumbnail images only, select Thumbnail.
oIn Publication Level, select your public access level (for example, Full public access).
oTo exclude Photo/AV records with no Publication Status specified, select Exclude media with Unspecified Publication Level.
oYou can choose to either Export all images or Skip unchanged images. If you have previously run this export, and are exporting media to the same folder again, you can select the Skip unchanged images option. The system will check if an image has changed since the report was last run. If it has changed, or if there is no image in the folder at all, Vernon CMS will generate a new image.
oChoose where the exported images will be saved in the Media Folder field.
oIf you would like derivative images of different sizes created as part of the export, e.g. alternative sizes for desktop versus mobile viewing, select or create the relevant Image Derivative. If you add image derivatives they will be created in sub-folders of the same name in the Media Folder.
oYou can override image derivative folder names in the Path field.
oIf you would like all of the images and folder names to be lower case, select Convert Image Filenames and folders to Lower Case.
9.Click OK.
10.Click on the Run Report tab.
11.Click Export.
