Linking Multiple Related Records to a Correspondence Record

It is possible to link multiple records, from one or more different files, to a single correspondence record.

If the records you would like to link to your Correspondence record are all from different files, you will need to manually enter these, row by row, in the Related Records table.

If the records you would like to link all belong to the same file (e.g. a group of Object records), you can link these in bulk using the Options button.

To link multiple Related Records to a correspondence record:

1.Click into the the Related File field and enter the name of the file that contains the records you would like to link to (e.g. Object, Person, Document etc).

2.Click into the Related Record field and click the Options button Button Options on the Status Bar. This will open the Advanced Search window for the related file.

3.Perform a search to retrieve the records you would like to link to your Correspondence record.

If you have a saved list of records you can use a Saved List search to retrieve these.

4.        Once you have retrieved the records you would like to link, click Finish to exit the Advanced Search. This will open the Authority Search window.

5.        Tick the 'Select All Displayed Terms' checkbox to link all of these records (or select individual records by ticking the checkbox next to the term).

6.        Click OK. The records you have selected will then be entered in the Related Records table.

7.        Click the Save button Save icon to save the record.
