Level of Current Object Record

Scroll More

WHAT IT'S USED FOR:

The Level of Current Object Record field is used to record an object's type in relation to its group or member objects. Group & Member relationships are hierarchical, and the Level or type indicates a record's position in the hierarchy.

For a full understanding of the Group and Member relationship, it is suggested that you read the Help for the Next Higher Record in Group field, which explains this in great detail.

You may wish to create only one generic set of terms and apply these to all Group and Member Objects, e.g.

oSuperior Group Object

oGroup Object

oObject

or for archival records:

oSeries

oFile

oItem

Because Level is controlled by an hierarchical authority however, you can enter the type to any level, and you can create separate, more specific hierarchies for different types of material, e.g.

oSuper Portfolio

oPortfolio

oPrint from Portfolio

oSet of Albums

oAlbum

oPhotograph from Album

You are recording Group & Member details of the current object (i.e. of the object you are viewing on screen at the moment).  Therefore, you are using this field to record the Level of the current object, not the level of its Group Object.

The system automatically reciprocally updates relationships between Group and Member Objects.

WHERE TO FIND IT:

The Object Group Member & Related Objects Window, and the Library, Archive Series and Archive File/Item windows.

HOW TO USE IT:

Remember that all the Group & Member fields in this window (Next Higher Object in Group, Level, Notes and Member Objects) are relative to the current object (i.e. to the object you are viewing on screen at the moment).  Therefore, you are using this field to record the Type of the current object.

Level is an authority controlled field.

Simply enter the term (or its System ID) in the field if you know it. (If you enter the term incorrectly, or if there is more than one matching term, the Authority Search Window will appear, allowing you to select or search for a term.)

You can also click on the Options Button (or press [Alt + Down Arrow]) to select a term if terms have already been created, or follow instructions for creating, editing or deleting authority terms as required.

Remember that Search Operators are useful search tools, and can be used in any authority controlled field.

RETRIEVAL:

Full instructions for retrieving objects from the system are covered in the section on Retrievals.

Note, however, that this is an indexed field.  You can search for objects based on their Level by selecting Level of Current Object Record from among the available search fields in the Query Window, and proceeding as you would when searching any authority controlled field.

REPORTING:

Full instructions for creating reports to view on screen or send to a printer are covered in the section on Reporting.  It may, however, be useful to review the following comments about this particular field.

Display

To display this field in either Down the Page or Across the Page reports, simply select Level of Current Object Record from the list of available display fields.

It is suggested that you become familiar with the way authority controlled fields function during the reporting process.

Sorting

You can also sort the objects in your report by Level of Current Object Record.  Simply select the field from the list of available sort fields.
