Group/Member & Related Objects

When using Group/Member & Related Objects fields, remember that these fields are relative to the current object (i.e. to the object you are viewing on screen at the moment).

Therefore, you are using these fields:

oto record a Group object for the current object if it has one (if the current object record is itself the top of the hierarchy, the Next Higher Record in Group field will be empty).

oto record the Level of the current object

oto record Notes about the current object

Member objects (of the current object), if there are any, will be displayed automatically. For an object that is itself one of the lowest members of the group hierarchy, the Member objects field will be empty. See Reciprocal Updating and Recording Member Objects, below.

The Next Higher Record in Group field is controlled by the Object file - i.e. you are working in the Object file data entry windows for one object, and simply entering another object from your collection, to serve as the Group Object or 'parent' Object for the object you are viewing at the moment.

If the Group Object record already exists (e.g. if you have already created and saved 'The Prescott Albums' as the record representing the collection of three photo albums), you can simply enter its Accession Number, Person name, Name/Title in the Next Higher Record in Group field and press [Enter].

If you enter a term incorrectly, or if there is more than one matching record, the Authority Search window will appear allowing you to select or search for a record.

It will be useful to review the default search fields for the Object file. The Next Higher Record in Group field searches these same fields. Also remember that Search Operators are useful search tools, and can be used in this field.

You can also click the Options button Button Options to access the Query window where you can construct a search query to locate the desired object.

The Next Higher Record in Group field is single-valued. If more than one record is found as a result of your search, the Authority Search window will appear when you exit the Query window with your results. This will allow you to select the ONE record to be entered in the Next Higher Record in Group field.

If the Group object record DOES NOT yet exist, save the record you are working on so that it disappears from the screen (you may wish to make a note of its System ID since you will want to retrieve it and enter the group object in the Next Higher Record in Group field as soon as it has been created).

Branch to the Identification window and follow the usual steps for data entry, entering all necessary details about the group object, and branching to other windows as necessary. Save the record and when it disappears from the screen, retrieve the record you were originally working on and enter the newly created group object record in the Next Higher Record in Group field.
