Procedural Status, Activities

WHAT IT'S USED FOR:

Procedural Status is used to record the stage an activity record is at in your organisation's procedure for that activity.

For example, possible procedural statuses for an Inward Loan record could include 'Loan Proposed', 'Loan Approved', 'Objects Fully Received' and 'Objects Fully Returned'.

WHERE TO FIND IT:

Procedural Status can be found in the main data entry window for all Vernon Activities files.

HOW TO USE IT:

Procedural Status is an authority controlled field. Therefore, you must select from a list of pre-defined terms or create a new term.

 

Additional points to note about Procedural Status are:

oNot all terms may be available to select. This will depend on how Procedural Control has been configured for your institution. For assistance, please contact your system administrator.

oWhen you save the record, the system will run through a series of checks that have been set up for the status you selected. You may be prompted to fill in required fields, print a report, or schedule statuses and/or tasks.

oProcedural Status terms are likely to be different for different files, e.g. the terms for Acquisition Proposal will be different to those for Condition Report. This allows you to define different procedures for different collection management activities.

STATUS HISTORY:

Details about previous statuses, such as who assigned them and when, can be viewed in the Diary window. There is also the facility, in this window, to schedule future status changes and assign them to an individual.

To search for records by Procedural Status, select the Procedural Status search field in the Advanced Search.

REPORTING:

Full instructions for creating reporting can be found in the topic on reporting. You may wish to note these additional points about the Procedural Status field.

Display

To include Procedural Status in a report, select Procedural Status as a display field.

Sorting

To sort records by Procedural Status, select the Procedural Status sort field when selecting sort criteria.
